The Director of Operations and Systems, in the Office of Financial Aid (OFA), participates as a member of the senior leadership team and along with the Dean of Financial Aid, the Director of Undergraduate Financial Aid, and the Director of Graduate Financial Aid manages the functions, processes and responsibilities for the delivery of financial aid. The Director of Operations and Systems has decision making authority that crosses several critical areas of the University including, administration, finance, technology, and systems. The range of knowledge and responsibility allows this individual to be an asset to strategic planning and growth of the University. This position may be responsible for the full leadership of the department in the absence of the Dean.

Responsibilities of the position include:
  • Directing the operations of the OFA
  • Supervising staff
  • Providing information technology support
  • Application processing
  • Audit oversight (both internal and external)
  • Implementation of financial aid initiatives
  • Overseeing and coordinating duties for the systems and processing staff
  • Developing and implementing a seamless student financial aid module to accommodate over 30,000 admission applicants interested in receiving financial aid and roughly 5,000 financial aid applicants for undergraduate and graduate students
  • Supervising the loading and managing of secure data from various external sources such as the federal government and College Scholarship Services
  • Improving and providing efficiencies for the application, evaluating, awarding and notification processes necessary in financial aid
  • Ensuring compliance with University policy and federal regulations as it pertains to systems and safeguarding data.
  • Acting as the Data Steward for financial aid systems data and working with Brown's reporting team, providing timely reporting and data to the office and other campus partners.
  • Being the point person for all surveys and external reporting.
  • Working with partners in the Admission Office, Campus Bookstore, Financial Services, and The College to implement enhanced services provided to students and ensure accurate and streamlined interfaces with multiple systems.
  • Using the knowledge and experience of financial aid regulations, system capabilities, and University policy, be a resource and leader of innovation for departments across the campus.
The individual will be required to be involved in the development, planning, implementation, and evaluation of multiple campus initiatives and goals.

Qualifications:

Education and Experience:
  • Bachelor's degree required
  • Masters in Higher Education Administration, Business Management or Computer Science is preferred.
  • Seven or more years of progressively responsible management experience in higher education, not-for-profit or financial aid administration, or a related administrative area, with at least five years of direct supervisory experience.
Competencies:
  • Ellucian Banner Financial Aid experience including managing release testing and yearly set-up required.
  • Evidence of creative strategic thinking, demonstrated experience in personnel and financial management, and ability to translate business strategy into operational action.
  • Experienced in a team driven personnel supervisory environment that supports the needs and professional development of staff.
  • Expert knowledge of policies, practices and laws governing financial aid and related student information systems.
  • Demonstrated ability to work with a wide range of University and business personnel performing student administration activities, and an understanding of how technology supports and enhances administrative operations and service provision in a University environment required.
  • Knowledge of various activities within system operation including File Transfer Protocols, system/database access, and batch scheduling and experience with enhancement, development, and integration of complex student information systems essential.
  • A demonstrated ability to work independently and in a team-based environment, manage conflicting priorities and work under deadlines is needed.
  • Strong proficiency in Microsoft Office (Word, Excel, Access). Experience with Cognos and Workday reporting preferred. Experience with federal applications including COD, NSLDS, and FAA Access is required.
  • Must be detail-oriented with organizational and problem-solving skills, and be able to manage deadline oriented projects.
  • Demonstrated ability to support a community of diverse perspectives and cultures in an inclusive environment
