Position Purpose

Under the supervision of the EHS Director the Administrative Assistant III will coordinate and perform a wide variety of department/office activities that will increase office efficiency, expedite, and coordinate the work of others, and ensure the smooth operation of the Environmental Health and Safety department.

Required Qualifications - Education and Yrs Exp

Associates plus 2-3 years' experience or equivalent combination of education and experience

Required Qualifications - Skills, Knowledge and Abilities
  • Associate's degree or the equivalent experience
  • Two- to three years years of office experience.
  • Must be able to qualify as a Dartmouth Approved Driver
  • In-depth knowledge of office procedures.
  • Strong organizational skills.
  • Proficient with computer applications.
  • Strong interpersonal skills.
  • Ability to work independently and set priorities.

Key Accountabilities

Description

General Office Support
  • Coordinate a variety of activities to support department functions.
  • Prepare agendas for meetings, plan, and coordinate catering for luncheons, for committees and other meetings.
  • Coordinate with safety officers, and safety specialists in the development of safety training for online and in person delivery.
  • Safety training records management.
  • Review and update OSHA written programs to ensure EHS branding and consistency between programs, policies, guidelines, and standard operating procedures.
  • Monitor professional subscriptions and individual renewals annually.
  • Monitor professional development and conferences for each EHS employee.
  • Assist in the preparation of regularly scheduled reports, and maintenance of electronic and paper filing systems.

Communication
  • Record minutes of meetings and prepare for supervisor review and distribution.
  • Coordinate EHS publicity activity to include work in multimedia, such as drafting brochures, newsletters, to coordinate a wide range of department publications/communications.
  • Draft and proofread memos, inspection reports, and general EHS correspondence.
  • Maintain and update the EHS webpage.

  • Establish and maintain department files and databases to ensure accuracy and accessibility of information.

Schedule Coordination
  • Maintain schedule(s) for EHS director, and/or department staff.
  • Schedule department meetings, events, and functions including the coordination of guest itineraries, room reservations, etc.
  • Maintain and update the EHS calendar, and individual time off calendar for all EHS employees.
  • Coordinate major recurring department activities including those with EHS stakeholders.
  • Make travel arrangements for staff, such as booking flights and cars, and making hotel reservations.
