Executive Assistant to the Provost
Emporia State University in Emporia, Kansas is seeking an Executive Assistant to the Provost and Vice President for Academic Affairs. The Executive Assistant assists the Provost in fulfilling the role of Chief Academic Officer and guides academic program personnel in the interpretation and application of university policies and procedures. The successful candidate will be an excellent communicator and a skilled facilitator.
Primary Job Duties

Support the employment of Academic Affairs unclassified personnel by guiding the recruitment and hiring process, preparing Notices of Appointment, and maintaining academic employment records.

Maintain the University Policy Manual by adding newly-approved policies, revising existing policies, removing policies that are no longer in effect, and notifying the campus of changes.

Review Curricular Change Requests for accuracy, direct them to the appropriate parties for consideration and notify stakeholders of approved changes.

Assist departments in the preparation of New Program Proposals for submission to the Kansas Board of Regents.

Notify Deans and Chairs annually of faculty members scheduled for tenure review and eligible for the promotion. Collect promotion and tenure portfolios for the Provost. Notify the Budget Office of promotions for salary enhancement. Update Banner tables and Budget database with tenure and promotion decisions. Modify Notices of Appointment to reflect tenure and promotion decisions.

Administer the Provost's Office budget by placing orders for goods and services, submitting and approving invoices for payment, and transferring funds to other accounts as authorized by the Provost. Notify Deans and direct reports of operating and student wage allocations each year.

Assist with the preparation and submission of documents and reports to the Kansas Board of Regents.

Gather and compile data to assist in the Provost's decision-making. Track program accreditations. Draft commencement scripts and programs.

Schedule the Provost’s meetings and appointments. Make travel arrangements, complete travel requisitions and expense vouchers.

Maintain office files.
Qualifications
This position requires organization, focus, and initiative. Individual must possess excellent written and verbal communication skills and a high level of professionalism. Individual must demonstrate the ability to work independently, solve problems, maintain confidentiality, manage multiple tasks, and work cooperatively with all university constituencies.
Required Qualifications:

Bachelor's degree.

Five years of professional work experience in an administrative setting.

Familiarity with administrative systems and technology applications.
Preferred Qualifications:

Ten years of professional work experience in an administrative setting.

Experience in a higher education administrative environment.

Advanced technology skills.
Compensation
Salary is commensurate with qualifications and experience. Anticipated starting salary range is $50,000 -$55,000. Includes excellent benefits including medical, dental, vision, retirement package, generous vacation days and administrative/holiday closures.
