JOB SUMMARY: Acts as a professional contact during events based on direction from the Fairgrounds Manager. Serves as a staff liaison for the satisfactory execution of events, including overseeing all aspects related to the event and monitoring the use and care of the property. Assures successful guest relations and physically contributes to the successful set up, execution and clean-up of an event. Seasonal position between May 1 – September 30.

ESSENTIAL JOB FUNCTIONS: Essential functions may include any of the following tasks, knowledge, skills and other characteristics. Assists the Fairgrounds staff for event set-up/tear-down, assuring that the physical arrangement is according to plan and that Fairgrounds property (tables, chairs, etc.) is in good and clean condition. Directs vendors and outside delivery/set-up personnel for appropriate set-up and usage of facilities. Provides direction for security/parking as needed to assure appropriate access to the property and safe vehicular access. Professionally interacts with guests and maintains unobtrusive availability to respond to any needs/problems that may occur during the event including bathroom refresh and trash removal. Enforces rules and regulations throughout each event including ending on time; assures appropriate care of property by attentive observation during the event. Takes appropriate action as needed. Responds timely and appropriately to any incidents and maintains documentation, such as first aid action, property damage, etc. Charges for add-on items requested without notice. Understands pricing structure, charges in the payment systems, and provides receipts. Operates a tractor to groom the rodeo arena before and during events. Follows all safety requirements when operating heavy machinery. Operates solves audiovisual equipment including a variety of sound systems, scoreboards, event lighting and projectors. Provides technical support as needed. Documents each event on a post event form to capture the general scope of the event including time schedule variations, attendance, added on items, damages, security, etc. Performs other related duties as assigned. Regular and predictable attendance is required.

MINIMUM QUALIFICATIONS REQUIRED: Education and Experience: High School diploma or GED; and, At least two years of progressively responsible related experience; or, Any combination of education, training and experience which provides the required knowledge, skills, and abilities to perform the essential functions of the job.

Licenses and Certifications: Valid driver’s license

KNOWLEDGE, SKILLS, AND ABILITIES:

Knowledge of: Knowledge of standard administrative support and clerical procedures including data entry and electronic document preparation, electronic and hard copy records filing, record keeping, and telephone protocols. Demonstrates a clear understanding of policies and procedures of operation; and is able to assertively, tactfully and successfully communicate the importance of the policies to vendors and customers while protecting the organization through appropriate application of such policies, procedures and guidelines. Knowledge of event administration and logistics. Skill in: Operating and maintaining all assigned equipment. Effective oral communications. Highly organized, dependable and ability to multi-task. Effective working relationships with co-workers, vendors and general public. Strong focus on determining and meeting the client’s needs.

Ability to: Ability to understand and follow oral and written instructions. Ability to prioritize multiple projects, duties, daily tasks and exercise exceptional attention to detail. Ability to exercise problem solving skills when working independently. Ability to exercise tact and courtesy in frequent contact with diverse clients, County staff, contractors, and the general public. Ability to receive monies. Ability to keep accurate records. Ability to work flexible hours, including nights/weekends as needed.

Working Conditions and Physical Demands: Work is performed in a normal office environment with exposure to outdoor temperatures or dirt and dust at times. The incumbent's working conditions are moderately quiet. Primary functions require sufficient physical ability and mobility to work in an office and setting; to stand or sit for prolonged periods of time, to occasionally stoop, bend, kneel, crouch, reach, and twist; to lift, carry, push, and/or pull light to moderate amounts of weight; to operate office equipment requiring repetitive hand movement and fine coordination including use of a computer keyboard; to speak and hear; to travel to other locations using various modes of private and commercial transportation; to verbally communicate to exchange information. While performing the essential functions of this job the employee is occasionally required to lift and/or move up to 25 pounds. Depending on the work assignment, the incumbent may be exposed to hazardous working conditions while working near heavy machinery.
