Position Summary: The overall purpose of this job is to provide support for short term academic study abroad programs through the Tennessee Consortium for International Studies as well as other international education programming.
Essential Functions:
25% Coordinate faculty application processes for current and upcoming program years. Review proposed syllabi for institutional consistency and work with faculty to ensure they meet TnCIS, TBR and SACS requirements. Organize and maintain faculty personnel files to comply with TnCIS, TBR and SACS requirements. Prepare and maintain faculty files including online application, CV, syllabus, transcript, institutional approval form, faculty agreement, faculty contract, and other faculty-related documents required by TnCIS for travel, individual travel, etc.
25% Coordinate TnCIS airline travel arrangements for study abroad programs, faculty development programs, and TnCIS partnership programs. Organize airline ticketing process with travel agency to ensure best pricing, scheduling, accuracy, etc. Including any requests for individual travel arrangements and/or special travel arrangements.
10% Support Assistant Director in planning and implementing TnCIS Annual Conference. Organize conference proposals and communicate with approved presenters. Maintain conference registrants list and tracking payments.
5% Maintain and update as needed the TnCIS Operational Handbook and forms. Assure compliance with TnCIS & TBR policies
5% Maintain database(s) for TnCIS contacts, current and future programs, potential partnership opportunities.
10% Provide assistance in other matters pertaining to the operation of the TnCIS office and program as requested by the Executive Director.
5% Maintain health insurance coverage information for all TnCIS participants to ensure coverage.
5% Prepare summary evaluation report from TnCIS student study abroad programs
10% Coordinate cultural touring events (art exhibits, musicians, speakers) on behalf of TBR institutions.

Job Requirements:
Associate's degree required; Bachelor's degree preferred. Ability to be Notary Public.
3 years of office experience, preferably in Higher Education
Preferred experience with coordinating group travel
Experience with coordinating group travel preferred.
Part-time work experience is calculated at 50% credit of full-time work experience
Complexity & Creativity: Attention to detail is critical when reviewing complex airfare itineraries—Must take dates, flight times, and pricing into consideration. Communication skills will be used when addressing faculty, travel agents, and coordinating various events and ideas. May be asked to support or provide opinions on ideas brought up by others in meetings and assist in implementing them. Ability to engage in the college's mission and values.
Responsibility for Accuracy: Multiple quality control measures involving other TnCIS staff are in place, especially with the airline coordination and execution, to ensure accuracy. Errors from this position can cause significant financial and reputational consequences. Potential errors can include incorrect number of airline tickets issued, reproducing flight information with date and time errors.
Judgement & Decisions: Major decisions are made with the approval of the Executive Director. Daily management of projects are left to the discretion of the incumbent.
Nature of Contacts: Faculty applying to or accepted to teach for TnCIS are contacted to ensure that application materials are complete, accurate, up-to-date and that all required documentation has been submitted. Conversations with vendors regarding travel arrangements, health insurance, international programming, etc.
Physical Demands: Normal physical demands for most of the work done. Some travel is involved in-state, domestic and international. Employer must meet EEOC policies/requirements.
Hazards: Some exposure/possibility for physical injury or illness related to required travel. With international travel, vaccines may be recommend or required.
