Advancement Records Database Analyst:

The Advancement Records Data Analyst will report directly to the Associate Director of Advancement Records. This position will be responsible for supporting the Advancement Records team through data analysis, data entry, data maintenance and uploads into the Advancement Services CRM system. The Advancement Records Database Analyst will be expected to recommend and implement new methods and procedures to improve the quality and integrity of data.

Essential Functions:

  • Oversee lockbox vendor's daily batches by preparing, formatting, and importing files as well as occasional manual entry; serve as the liaison for lockbox issues, communicate and resolve payment and file-related issues; and identify and problem solve processing exceptions.

  • Maintain the structure of the database, including attributes, business rules, code tables, and other related functions, and ensure successful and seamless integration, communication, and feeds between database and other support applications.

  • Oversee gift uploads; review, adjust, and process batches; reconcile and prove deposit total.

  • Manage bulk upload and data import for deceased files, NCOA, telephone, email, and employment records.

  • Maintain the pipeline for processing Double the Donation matching gifts.

  • Demonstrate collaborative style combined with the ability and desire to work in a team-based environment.

  • Be able to understand department needs, identify creative solutions, and use appropriate technology to provide the most effective results.

  • Process complex and diverse information and independently render decisions to process data or request specific actions for follow-up, testing, and requesting of new database features and enhancements.

  • Implement the department's data maintenance plan by coordinating with external vendors to obtain constituent data and updates including e-mail appends, address maintenance, lost alumni searches, telephone appends and various other fundraising related data extracts and updates; research, detect, and delete duplicate records; perform and manage batch system updates; and manage various other database management and clean-up procedures.

  • Define requirements for data updates with user departments, including fields such as addresses, phone numbers, emails, activity codes, contact reports, etc.

  • Establish system tests, evaluate results of system modifications, and develop documentation in accordance with department standards.


Education/Experience:

  • Bachelor's degree required (Business or Accounting related degree preferred or equivalent work experience in business, IT, or fundraising field).

  • Excellent project management skills preferred.

  • High proficiency in Microsoft Office, including Outlook, Access, Word, Excel, and PowerPoint.

  • Basic knowledge of fundraising and philanthropy required. Prior Higher Education, fundraising or Not-for Profit experience a plus.

  • Knowledge of CRM system or fundraising system desirable.

  • Demonstrated ability to communicate effectively and collegially with colleagues and excellent verbal and written communication skills are required.

  • Capacity in effective problem solving and organizational skills and outstanding attention to detail.

  • An understanding of data integrity, security controls and perform sound judgment when dealing with highly confidential information.

  • Ability to complete assignments individually or participate as an effective member of a project team to complete various departmental projects.


In compliance with NYC's Pay Transparency Act, the annual salary for this position is $63,000. St. John's University considers factors such as (but not limited to) scope and responsibilities of the position, candidate's work experience, education/training, key skills, internal peer equity, as well as market and organizational considerations when extending an offer.

This position may be relocated to any of St. John's University's physical locations at any time.
