Job Summary

The Global Fiscal Affairs Assistant provides organizational support to the Global Fiscal Affairs team (Director of Global Fiscal Affairs, based in New York; Coordinator of Fiscal Affairs, Rome; Coordinator of Fiscal Affairs, Paris) and reports directly to the Director of Global Fiscal Affairs.

Essential Functions

Administrative, Operational and Faculty Support

  • Print and review Paris wire payment requests.

  • Prepare wires and check requisitions as needed.

  • Deliver signed wires and backups to Business Affairs.

  • Accommodate faculty and administrators with Concur travel requests and expense reimbursements.

  • Update excel files needed for budget forecasting.

  • Create semester invoices for partner school students, log checks received from partner schools, and send them to the Bursar for deposit.

  • Track Global Fiscal Affairs student worker hours.

  • Support the onboarding of Office of Global Programs employees and student workers.

  • Complete mailings to the Rome and Paris campuses as needed.

  • Manage office supplies when needed on the Queens campus.

Year-End

  • Aid the office with the various year end reports and the year-end accrual reconciliation as needed.

  • Filing annual wires and backups.

  • Process budget transfers.

  • Conduct benchmarking studies to support the overall annual global programs pricing proposal.

Work Environment

This position operates in a professional office environment; this position is required to use standard office equipment such as personal computers, printers, etc.

Physical Demands

The ability to walk from building to building within the campus.

Environmental Conditions

The work environment may have occasional noise as it requires the employee to sit in an open office space. Additionally, the office is in a student building where classes and activities take place regularly, which means there is often significant noise from students and faculty/administrators in hallways and nearby classrooms.

Position Type/Expected Hours Of Work

This is a full-time position. Days and hours of work are Monday through Thursday, 8:30 a.m. to 4:30 p.m. and Friday, 8:30 a.m. to 3:00 p.m.

Required Education And Experience

  • Associate's degree in Business Administration, Accounting, Finance, or Economics

  • 1 year of work experience in an administrative office

  • Must be detail-oriented with strong analytical, mathematical, and organizational skills

  • Solid computer skills, specifically in Excel, PowerPoint, and Word


Preferred Education And Experience

  • 1-3 years work experience in accounting, finance, or similar field.

In compliance with NYC's Pay Transparency Act, the annual salary for this position is $44,000. St. John's University considers factors such as (but not limited to) scope and responsibilities of the position, candidate's work experience, education/training, key skills, internal peer equity, as well as market and organizational considerations when extending an offer.

This position may be relocated to any of St. John's University's physical locations at any time.
