Job Purpose
The Academic Support Associate is unique as it supports all three divisions serviced by the Office of the Registrar, including Records, Registration, and Graduation. The Academic Support Associate contributes to student learning outcomes and institutional effectiveness by ensuring a student's academic record is secure, accurate, and complete so that students can effectively plan and reach their educational goals. In addition, this position is essential in supporting student success by helping students and the campus community and acting as a resource, analyzing issues, maintaining compliance, and enforcing university policy. The associate performs various complex tasks and is firmly committed to serving students. Likewise, the Office of the Registrar Associates are firmly committed to helping students and are a valuable resource during a student's academic career at the University.

Essential Functions
  • Develops, cultivates, and maintains positive relationships with faculty, advisors, strategic enrollment partners, and students.
  • Exercises independent judgment and authority as required and appropriate while enforcing TTU’s academic policies and procedures.
  • Maintains complete current and historical records for functional areas, ensuring the ability to retrieve information and report as needed quickly.
  • Respond to all inquiries from students, the external community, faculty, staff, and administrators on college policies and procedures relating to records, registration, graduation, FERPA, transcript evaluation, course scheduling, and other business conducted by the Registrar’s Office.
  • Ensures the conformity of record release procedures and legal requirements governing the confidentiality of student records, including the Family Rights and Privacy Act (FERPA) and all other applicable laws and regulations.
  • Evaluate all incoming transcripts from post-secondary institutions and articulate transfer credit for coursework on academic records.
  • Responsible for updates to complex transactions within student records, name changes, major changes, address changes, grade changes, enrollment and degree verifications, course repeats, course substitutions/waivers, course hour overloads, course audits, and registration schedule changes, including withdrawals.
  • Manual calculation of academic standing and GPA, evaluation of repeated courses.
  • Proactively identifies problems and concerns, proposes solutions, and implements appropriate changes in partnership with supervisors and colleagues.
  • Develop and maintain a highly detailed level of knowledge regarding all academic programs at the University while maintaining expertise on the requirements students must fulfill to graduate and the academic policies which affect those requirements.
  • Evaluate degree audits consistent with degree requirements specified in the University Catalog. Assist with problem-solving degree audit issues as they occur while working closely with students and advisors, ensuring all documentation is in order and the integrity of students’ majors and graduation records are upheld.
  • Supports Tennessee Tech’s Academic integrity, a core value that ensures respect for the University’s academic reputation, its students, its faculty and staff, and its academic credentials.
  • Assists with commencement ceremonies.


Minimum Qualifications
Bachelor’s degree from an accredited institution with one year of relevant professional experience, associate’s degree with three years of relevant professional experience, OR a high school diploma with five years of relevant office experience providing customer service. Ability to communicate pleasantly and effectively with students, the external community, faculty, staff, and administrators. Ability to maintain confidentiality. Ability to manage multiple tasks simultaneously. Ability to apply logic and analytical skills. Experience with various software packages such as Microsoft.

Preferred Qualifications
Bachelor’s Degree from an accredited institution is preferred. Ellucian Banner experience. Minimum of one-year of experience working with student records, registration, or graduation. Knowledge or familiarity with higher education curriculum requirements. Knowledge of FERPA guidelines.

Work Hours: Monday through Friday 8am – 4:30pm. Additional hours may be required during peak times.

Salary: Commensurate with education and experience.
