DEPARTMENT OVERVIEW

The Sociology Department (also housing Community Studies) currently has 23 senate faculty members, 2 year-round continuing lecturers, and an administrative staff of 5. Sociology has approximately 30 graduate students and 600 undergraduate students. The department is housed in the Rachel Carson College academic building, upstairs from the Rachel Carson College administrative offices. With one of the larger undergraduate programs on campus, the undergraduate advising team consists of the Undergraduate Program Coordinator/Assistant Manager, a 50%-time Department Programs Coordinator, and 2-4 peer advisors in any given quarter.

JOB SUMMARY

Applies skills as a seasoned, experienced in-person academic adviser and academic services coordinator. Provides advice to students on the full range of requirements for the Sociology Department with a wide variety of course requirements. Recommends solutions to progression and requirement issues. Advice may include not-clearly-defined programs such as independent study programs, interdisciplinary programs, or multiple programs. Provides back-up building support to the department manager. Works independently under general supervision.

APPOINTMENT INFORMATION

Budgeted Salary: $66,900 - $71,000 / Annually. Salary commensurate with skills, qualifications and experience.
Under California law, the University of California, Santa Cruz is required to post a reasonable estimate of the compensation for this role. The salary shown above is the budgeted amount the University reasonably expects to pay and the salary extended should not exceed this posted amount.

JOB DUTIES

60% - Undergraduate Student Advising

Provides advice and assistance to students on all aspects of their academic experience, including progression and requirement matters for the department. This includes advising on all matters related to the undergrad program, including: transfer/frosh advising, major requirements, academic planning, individual studies, declaration, petitions, graduation, and referrals.
More specifically, this involves:
  • Advising on complex transfers from other institutions such as those in the midst of advanced degree completion and coursework in other programs.
  • Overseeing articulation requests and transfer student appeals.
  • Identifying students with GPA or progress problems, advises students, and recommends appropriate courses of action by the department / school / college (e.g., academic probation, dismissal).
  • Advising on special eligibility requirements such as Honors programs / fellowships / scholarships.
  • Evaluating and advising students on petitions for exceptions to departmental or campus requirements.
  • Confirming that students have met requirements for degree completion when there are no clear precedents or articulations, such as interdisciplinary programs or when transfer work is involved.
  • Advising students on a wide range of course possibilities and / or ways to complete degree requirements that may not be clearly defined.
  • Determining barriers, distractions, and complications affecting a student's academic success, helps students recognize these key non-academic issues, and makes appropriate referrals for additional therapeutic counseling and / or assistance from other units.

20% - Undergraduate Program Coordination
  • Assisting the undergraduate program coordinator with the enrollment process in the department every quarter, which includes gating courses, conducting extensive outreach and tracking to ensure graduation and retention, providing advising hours for both students and faculty during enrollment, and assisting with permission codes and the senior seminar enrollment process for the department.
  • Assisting in overseeing the Sociology Peer Advising Program, and especially helping to recruit, hire, train, schedule, and supervise the peer advising team in the building.
    Coordinating all undergraduate program department outreach, events, orientations, and workshops, and assisting with occasional Community Studies events (e.g. the annual poster session)
  • Assisting with the process for multiple department awards annually.
  • Working with the campus CAT system and department website to keep catalog information up-to-date and ensuring students are provided with current and accurate. information.

20% - Academic Services Coordination

In consultation with the department manager, providing in-person department building support, including:
  • Serving as the department point person for hiring undergraduates in the Handshake/Hires system.
  • Being the point person for department space bookings (e.g. conference rooms).
  • Being the point person for emergency preparedness compliance in consultation with the Social Sciences Division.
  • Coordinating key distribution.
  • Being the point person for the mailroom space, including copy machine and printer oversight.
  • Collecting quarterly stickers for the graduate program.
  • Providing minor ad hoc department event support (e.g. assisting the manager with room set-up and occasional refreshments collection).
  • Hiring and overseeing 1-2 student workers to assist with the above tasks.


REQUIRED QUALIFICATIONS
  • Bachelor's degree in higher education and/or equivalent experience/training.
  • Thorough knowledge of advising and counseling techniques. Knowledge of multiple majors, colleges, and schools.
  • Thorough knowledge of college / school policies, procedures, and requirements.
  • Skills in judgment and decision-making, problem solving.
  • Abilities in problem identification, reasoning, ability to develop original ideas to solve problems.
  • Ability to multi-task.
  • Strong verbal communication skills, including active listening.
  • Strong written communication skills.
  • Proven communication and interpersonal skills, with a broad range of constituents and with individuals and large groups from diverse backgrounds.
  • Demonstrated ability to exercise good judgment and discretion with confidential matters.
  • Experience recruiting, interviewing, selecting and supervising student employees.


PREFERRED QUALIFICATIONS
  • Familiarity with campus programs, administrative units, and range of student services.
  • Thorough knowledge of department general and major course and degree requirements.


SPECIAL CONDITIONS OF EMPLOYMENT
