JOB SUMMARY/ESSENTIAL JOB FUNCTIONS: The Administrative Coordinator 1 assists the Program Director with recruitment of residents, faculty, and ED Fellows. This position coordinates all student rotation requests and orientation, maintains recruiting websites, maintains resident leave requests, faculty/resident recertifications for the hospital, and administrative duties for the department.

DUTIES AND RESPONSIBILITIES:
  1. Responds to requests from medical students and other residency applicants, potential faculty members, and ED Fellowship applicants.
  2. Schedules and coordinates all aspects of the residency/fellowship interviews and student rotations.
  3. Maintains the residents' SharePoint site for daily master schedule changes, leave forms, rotational schedules, etc.
  4. Visits medical schools and recruiting fairs; assists the Program Director and Program Chair with all phases of resident, faculty, and fellow recruitment.
  5. Coordinate M3 Medical Student Clerkship, JI 4th year rotations, Summer Research Students, Pre-Med Student Intern Volunteer Program, Union University Student Rotations for Athletic Training, VSLO 4th year outside visiting students, and PA Student rotations and orientation.
  6. Maintains and schedules all resident and faculty recertifications.
  7. Oversees the selection, design, and ordering of all recruitment products.
  8. Coordinates yearly events for Sagacity Team Building Events for PGY 2 and PGY 3 residents and Second Look Events for residency applicants.
  9. Coordinates the ER Fellowship site visit to retain accreditation with the American Board of Physician Specialties which is required every 2 years.
  10. Performs other duties as required.

Qualifications :

MINIMUM REQUIREMENTS:

EDUCATION: High School Diploma or GED. (TRANSCRIPT REQUIRED)

EXPERIENCE: Four (4) years of administrative office experience; ORa Bachelor’s Degree in lieu of experience. Must have a valid Driver’s License.

KNOWLEDGE, SKILLS, AND ABILITIES:
  • Ability to manage workload with a minimum of supervision and ability to meet deadlines.
  • Excellent communication with the ability to interact with a diverse population.
  • Ability to multi-task and manage time to complete tasks in a timely manner.
  • Excellent computer skills to include Excel, Word, and PowerPoint.
  • Ability to be available 24/7 via email and/or cell phone, after hours or weekends.
  • Ability to initiate conversation with potential residency and fellowship applicants.
  • Ability to coordinate special events instructed by the Program Director/Program Chair.
  • Planning and organizing skills required.
WORK SCHEDULE: This position may occasionally be required to work weekends and evenings. May require occasional overnight travel.
